Attention State Cup Team Managers and Team Contacts or Coaches

Important Information to get organized for State Cup

All team contacts must go through our SWYSA State Cup representative for questions and information. Please DO NOT contact the State office directly unless you are directed to do so.

Finalize roster - All roster transfers or adds must be completed 10 days before the State's roster lock date so our association can complete the approval and verify rosters in Affinity. Washington Youth Soccer freezes all rosters 5 days previous to first scheduled game date in each age group, but all changes need to be done by the association previous to this freeze date. Contact your club registrar if you have questions. Out of club transfers or adds must be done through your club registrar and they must contact the association registrar in order to get approval. You will need new roster and player cards for all transfers or additions to your team.

Affinity Rosters - Team Managers or contacts - Please log into your Affinity State Cup roster and add your players jersey numbers 10 days before your first game.

Game rosters - All teams will be using a printed roster out of Affinity, the State Cup reporting system. More details regarding your game roster will come out via email from your State Cup Association Representative. After your State Cup game is over collect a copy of your roster and your opponents from the referee - verify the score is correctly entered before leaving the field. In the event we have a score reporting issue, your State Cup representative will need to see that copy before contacting the State.

Roster Maximum amount of players allowed:

Founders Cup teams: U10 = 12 players max, U11 & U12 = 14 players max, U13-U14 = 18 players max, U15-U19 = 22 max but only 18 may be suited up for each match

Presidents Cup and Championship Cup:

Under 10 teams can have a maximum of 12 players on the roster and must demonstrate continuity of rosters between the league and the tournament by maintaining a minimum of 7 players common to the roster of both competitions.

Under 11-12 teams can have a maximum of 14 players on the roster and must demonstrate continuity of rosters between the league and the tournament by maintaining a minimum of 9 players common to the roster of both competitions

Under 13-14 teams can have a maximum of 18 players on the roster and must demonstrate continuity of rosters between the league and the tournament by maintaining a minimum of 9 players common to the roster of both competitions.

Under 15 through Under 19 can have a maximum of 22 players and must demonstrate continuity of rosters between the league and the tournament by maintaining a minimum of 9 players common to the roster of both competitions. but only 18 may be suited up for each match.

Player cards must be complete - Team name and team ID numbers must match on all player cards (no guest players are allowed) and must match your roster. They must be printed by the association, photo attached. NO PLAYER CARD - NO PLAY!! Contact your club registrar if you have questions or have lost your player card and need a duplicate printed. Note that the Affinity player State ID numbers do not always match. There is nothing we can do about this unless we hand type each number in, so please do not worry about the PLAYER STATE ID NUMBER on your roster matching your player cards.

Referee Assigning - Home teams must contact their club field coordinator to see how they are handling referee assignments. Some club field schedulers contact the Drew Brooks directly and some clubs as the teams to contact him. We would perfer that one person from the club contact Drew directly. All State Cup referees will be assigned by our association's certified referee assignor Drew Brooks using the schedules in Affinity. It is the home teams responsibility to load all game details into Affinity. It is important that you load your game information into Affinity as soon as your receive your home game schedule so that the assignors can begin their job.

Referee pay scale and additional invoice charges for assigning (as of 2015, this may have changed)- Your club will be billed for each State Cup game. If you did not have 3 referees shows up to your game, please notify your club so they can verify that you were not billed for 3 referees.

$10 per game assigning fee
6.75% of invoice total - admin fee
U11/12 $35/$25 = Center/each AR
U13/14 $40/$28
U15/16 $45/$32
U17 & Up $50/$35

Rescheduling games - Rescheduling games is ONLY permitted in the Preliminary rounds of State Cup. Reschedule process simplified (NO more form)- Per our State Cup rules, you are able to reschedule dates provided that the other team agrees to the change. To do so, the team needs to initiate the change IN THE AFFINITY SYSTEM. We do, however, have the ability to mandate game date changes if there are conflicting issues between the teams. The play dates were listed far earlier than the registration deadline so the dates should come as no surprise. We highly encourage teams to finish games earlier if possible. Mother nature is not always kind to us…

Score reporting - Teams will be reporting their own scores after each game. Information on reporting scores is located in the INFORMATION tab on the Affinity log in page. Please note that BOTH teams must report cards and cautions exactly the same or an error will occur in the game score and will need to be verified by the State. i.e. contested score (CS), contested card (CC) etc.
